Short answerA calm month-end comes from three habits: receive every employer file in a known format, match lines to members automatically, and have staff review only the exceptions. Per capita and reporting then come from the same records instead of a separate spreadsheet.
Standardize what comes in
Most of the pain is in the inputs. Agree a format with each employer, keep a list of who sends what and when, and chase late files on a fixed day. Your software should accept the formats employers already send rather than forcing them to change.
Match automatically, review exceptions
Matching each line to a member by hand is where days disappear. Let the system match on member number or name and employer, then review only what it cannot place:
- New hires who are not yet members.
- Members who changed name, unit or employer.
- Amounts that differ from what the member owes.
Report from the same records
Per capita to the international, board reports and annual filings should come from the records you just reconciled. If someone copies numbers into another workbook, the month-end is not really done.
